1. Scope and responsibility
The BIT Insight Group LLC ("BIT," "we," "us," or "our") provides this notice for personal information handled through bitinsightgroup.com, BIT websites and account interfaces that link to this notice, and related inquiries and business communications. It explains collection, purposes, disclosures, retention, and your choices. Reading this notice or using a website does not by itself provide consent for optional SMS messages, new incompatible uses of previously collected information, or processing that requires separate consent under applicable law.
For website inquiries and administration of BIT's own business relationships, BIT determines the purposes for which it handles information. When BIT processes customer-controlled information to deliver contracted services, the applicable Client Agreement, data processing agreement, business associate agreement where required, and lawful customer instructions govern that processing. This notice does not expand BIT's authority over customer data, replace those agreements, or reduce statutory rights. A customer may provide its own privacy notice for information under its control.
2. Information collected and its sources
Information you provide: Our inquiry form requests your name, organization, an email address or phone number, the service you are interested in, your relationship to BIT, timing, and a description of your needs. We also receive information you provide in correspondence and scheduling requests. Please provide only information needed to address your request.
Account and relationship information: Where you use an authorized account interface, we process account identifiers, organizational association, access permissions, scheduling information, and related activity needed to administer that interaction. Information may come from you, your organization's authorized administrator, or the systems supporting that interaction.
Agreement and communication records: We maintain records associated with acceptance of website Terms, such as the document version, acceptance time, and associated inquiry or account. SMS consent, revocation, and delivery information is subject to Section 5 below.
Information received automatically: Website and account requests convey technical information such as IP address, requested address, browser or device information, and request timing. We process technical information for delivery, troubleshooting, access protection, and abuse prevention. This information is separate from information you voluntarily enter in a form.
The public inquiry form does not request payment-card details, government identifiers, health information, or demographic information such as race, religion, political affiliation, or household income. Do not include such information in an inquiry. Arrangements for billing or sensitive information must use the appropriate channel agreed with BIT.
3. How information is used
We use information relevant to the interaction to respond to inquiries; evaluate requested engagements; arrange meetings; administer accounts and business relationships; provide requested communications; operate and protect our websites; investigate misuse; maintain agreement and preference records; and meet applicable legal obligations or establish, exercise, or defend legal claims.
If BIT sends business marketing emails, you may opt out through the message's unsubscribe mechanism or by contacting support@bitinsightgroup.com. Essential account, transaction, security, and requested service communications may continue as appropriate. An email preference does not enroll you in SMS, and website Terms acceptance is not SMS consent.
This notice does not authorize unrestricted use of customer information or inquiry content for training general-purpose AI models. Any proposed additional processing must have an appropriate purpose, authority, contractual basis, and any notice or consent required by law and prior commitments.
4. Providers, disclosures, and linked services
BIT does not sell, rent, or lease its customer lists to third parties. Depending on the interaction, information is handled by providers supporting website hosting and infrastructure, customer relationship management, account access, business email, scheduling, and support communications. Relevant information includes contact and inquiry details, account and scheduling information, and technical information needed for the provider's function. Providers acting on BIT's behalf are required to protect confidentiality and use information only for the authorized services. The stricter mobile-information restrictions in Section 5 control over this general description.
We may disclose information when required by law or where appropriate to respond to valid legal process, protect rights or safety, or investigate fraud, abuse, or security incidents, subject to applicable law. This paragraph does not create an additional permission to share SMS opt-in or consent information beyond Section 5.
When you follow a link to a separately operated service, that operator's notice applies to its own collection. A link does not itself authorize BIT to disclose your inquiry to that operator. For customer-controlled information, disclosures remain subject to the applicable processing agreement and lawful instructions.
5. SMS communications and mobile opt-in data
When you opt in to receive SMS text messages through BIT Support Messaging, we collect your mobile phone number along with the date, time, and source of your consent.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers (such as messaging platforms and carriers) acting on BIT's behalf solely to deliver the messages you requested.
We use mobile opt-in information only to send the messages you consented to receive, process opt-out requests, and maintain consent and delivery records. BIT Support Messaging covers support tickets, service and account notifications, scheduling, customer care, and optional one-time passcodes. It is not used for marketing or promotional messages. SMS consent is optional and is not a condition of purchase; submitting an inquiry or accepting website terms does not authorize SMS messages.
You may opt out by replying STOP, CANCEL, END, QUIT, REVOKE, OPT OUT, UNSUBSCRIBE, or a similar reasonable request. You may also contact support@bitinsightgroup.com to revoke consent. Reply HELP for assistance, or contact support@bitinsightgroup.com or (877) 326-2627. Message frequency varies; message and data rates may apply.
For complete information, see Section 5 of the Terms and Conditions. Updating this notice does not retroactively broaden permissions for information collected under an earlier, more restrictive promise.
6. Cookies and similar technologies
Account interfaces use cookies or similar mechanisms for functions such as maintaining a session and protecting requests against forgery. Your browser settings allow you to restrict or clear cookies; doing so may prevent account functions from working. Technical request processing described above can occur without cookies.
This notice does not constitute consent to optional advertising or analytics technologies. If an interaction introduces optional technologies requiring notice, a choice, or consent, BIT must provide those requirements before the relevant processing. You may contact us to ask about technologies used in a particular BIT interface or to exercise applicable advertising-related choices.
7. Retention and disposal
We retain personal information for the purposes described here, taking account of the nature of the information, the status of an inquiry or relationship, service and contractual needs, applicable recordkeeping requirements, security investigations, limitation periods, and legal holds. A single retention period does not apply to all records. Information should be deleted or de-identified when it is no longer needed for an applicable purpose or obligation.
Agreement and consent evidence and minimal suppression records may need to be retained to demonstrate a choice or prevent unwanted communications. Backup copies may remain until the applicable backup cycle expires; retention in backups does not authorize renewed unrelated use. Customer-controlled data is subject to the retention, return, and deletion provisions of the applicable agreement and law. Contact us for information about a particular record category.
8. Your requests and choices
You may request deletion of your personal information from BIT and its service providers, subject to identity verification and applicable exceptions. We may retain information needed to perform a requested transaction or contract, protect security and legal rights, comply with law, or for another legally permitted reason. We will explain a refusal or limitation as required by applicable law. This revision does not remove an applicable deletion commitment made when your information was collected.
Depending on your location and the law applicable to BIT's processing, you may also have rights to access or confirm processing, correct information, obtain a portable copy, withdraw consent, or opt out of sale, targeted advertising, or certain profiling. The availability and scope of these rights depend on the applicable law; this notice does not claim that every privacy law applies to every interaction.
Submit a request to support@bitinsightgroup.com with the subject "Privacy request," or call (877) 326-2627. Describe the request and the BIT interaction involved. Do not send passwords, full identity documents, or sensitive records with an initial request. We may request proportionate information to verify identity or an authorized representative's authority. We will respond within the applicable legal deadline and explain any permitted extension.
If we deny a request and you wish to appeal, contact the same address with the subject "Privacy appeal." We will review the decision and provide the outcome and any further complaint route required by applicable law. You may also contact the relevant regulator where applicable. We do not penalize you for exercising rights protected by applicable law.
For information controlled by a BIT customer, contact that organization. We will handle requests received by BIT consistently with our role, applicable law, and the customer's lawful instructions. Privacy requests, SMS revocations, and legally permitted complaints do not require certified mail or compliance with the formal contractual-notice procedure in the website Terms. Nothing here or in those Terms waives nonwaivable privacy rights.
9. Security and sensitive submissions
BIT's public website uses HTTPS to protect information in transit. Security also depends on appropriate access, handling, and operational safeguards; no website or transmission method can be guaranteed completely secure. This limitation does not eliminate duties imposed by applicable law or a signed agreement.
Do not submit passwords, access tokens, payment-card information, protected health information, CUI, FCI, classified or export-controlled information, or detailed active-incident evidence through public inquiry forms, ordinary email, or SMS. Contact BIT to arrange an authorized secure channel and any necessary agreement first. See Section 3 of the Terms for further restrictions.
If you inadvertently submit restricted information, promptly contact security@bitinsightgroup.com with the channel, approximate time, and a description of the category involved; do not resend the sensitive content. BIT will assess the submission and appropriate handling, including access restriction, preservation, deletion, or notification as required by applicable law and agreements. The submission restriction does not extinguish duties that arise from actual receipt or an incident.
10. Adults and children
BIT's websites are intended for business users aged 18 or older. We do not knowingly collect personal information from children under 13. Children should not submit information through these websites. If you believe a child has provided information, contact support@bitinsightgroup.com so we can investigate and take appropriate action. This notice does not invite use by children through parental permission.
11. Changes and earlier commitments
We will identify revisions through the Last Updated date and provide notice of material changes through a prominent website notice or other appropriate communication. Where applicable law or an earlier commitment requires advance notice or consent, we will provide it before implementing the relevant change. Posting an updated notice or continued website use alone does not supply that consent.
We will not treat this revision as permission to apply materially broader uses or disclosures retroactively to previously collected information. Applicable earlier commitments remain relevant to that information. This notice does not amend a signed Client Agreement or data processing agreement. Contact us if you need the notice applicable to an earlier interaction.
